For many organisations the IT environment has become considerably more complex without necessarily looking complicated from the outside.

Microsoft 365 is used for email, identity, documents and collaboration. Business systems and other services sit in the cloud. The office has a firewall, Wi-Fi, switches and perhaps a number of servers or other local systems. Backup is handled in one place, the client devices in another, and several external suppliers have access to parts of the environment.

Day to day, all of it can work reasonably well. But when the business changes, the questions arrive:

IT and IT security do not have to be two separate questions

Security sometimes becomes a separate project alongside ordinary IT operations. We usually think that is the wrong starting point.

  • If a new firewall is being introduced, the security requirements should be present while it is designed.
  • If Microsoft 365 changes, identity, permissions and logging should be handled at the same time.
  • If a network is rebuilt, segmentation should be a natural part of the design.
  • If backup is introduced, someone also needs to test the restore.
  • And when a new supplier is given remote access, you need to think about how that access is limited and followed up.

The Swedish National Cyber Security Centre (NCSC) points in the same direction. Its ten recommended security measures include managing permissions and using strong authentication (measure 3), limiting and protecting the use of high-level permissions (measure 4), backing up and testing restoration of information (measure 6), segmenting and controlling access in the network (measure 7) and upgrading software and hardware (measure 9).

These are not exotic security projects. They are the things that need to work in a well-run IT environment.

Microsoft 365 and identity

Microsoft 365 is a central part of many organisations’ IT environments, and often an area where fairly small changes make a large difference.

When we help an organisation we do not only look at whether Outlook and Teams work. We can also review how identities and permissions are handled, which users hold administrative roles, how multi-factor authentication has been introduced, which external users exist, and how the organisation handles people who join, change role or leave.

The NCSC recommends multi-factor authentication particularly for systems reached over the internet, such as intranets, email, cloud services, VPN, RDP and SSH, for information with a high protection value, and for administrative accounts. The same recommendation states that only necessary permissions should be assigned.

None of this has to mean making the environment so restrictive that the business stops working. Good IT security is largely about the right protection in the right place.

Networks you can understand and manage

Networks are another area where the environment has often grown step by step. A new access point is added. Then a camera. A new switch. A guest network. A VPN for a supplier. Eventually everything works, but the documentation and the security model have not quite kept up.

We can then help map and improve the network, from LAN, WAN and Wi-Fi to firewalls, VPN, monitoring and segmentation.

Segmentation is not only relevant to large organisations. The basic idea is that systems with different functions and protection needs should not automatically be able to communicate freely with each other. The NCSC recommends dividing networks into segments and controlling the traffic between them, so that an attacker or malware finds it harder to move onward through the environment.

In practice the question can be as simple as this: do guests, printers, cameras, user workstations, servers, backup and administrative interfaces really need to sit in the same security zone? Often they do not.

Backup is good, recovery capability is better

Almost every organisation we meet has some form of backup. The more interesting question is whether it can be used when something has genuinely happened.

  • How quickly can the information be restored?
  • Does anyone know how the restore is carried out?
  • Is the backup protected if an administrator, or the whole IT environment, is compromised?
  • If a business-critical system has to be rebuilt, are configuration, certificates and other dependencies also available?

The NCSC explicitly recommends testing backups at least annually or on major changes to the IT environment, and testing both partial and full restoration. The recommendation also says copies should be kept offline or in a secure location that is not reachable over the network.

That is why we prefer to treat backup as part of a larger question: how do we get the business back? Not simply: did last night’s backup job turn green?

Monitoring should find problems before users do

A stable IT environment also needs to signal when something is starting to go wrong. That might be disk space running out, a backup failing, a certificate approaching expiry, an internet connection developing problems, or a service suddenly behaving differently.

We work with server, network, application and cloud monitoring, and use Zabbix as one of our platforms for monitoring services.

But monitoring is not about generating as many alerts as possible. It should make it clearer what is happening, what matters and who needs to act. That applies to operations and security alike.
